A property follow-up on WhatsApp should answer the prospect's last question or offer a specific next step. Name the property, use verified information and ask for one decision the recipient can make without another long exchange.

Give your UAE real estate team a small library organised by situation. Pair each message with a sending condition and a stop rule. A sequence that ignores a reply, changed availability or an opt-out can damage a conversation that was progressing well.

Check which WhatsApp product your team uses

The WhatsApp Business app and the WhatsApp Business Platform have different messaging mechanics. The app includes saved quick replies; the Business Platform supports API-based messaging and integrations.

For the Business Platform, free-form replies are allowed within 24 hours of the user's last message. Outside that window, messages must use approved Message Templates. Meta sets these rules in the Platform-specific section of its Business Messaging Policy. Sending another business message does not restart the clock from the user's last message.

The same policy requires a supplied mobile number and opt-in permission for subsequent contact, and requires businesses to honour opt-outs. These obligations apply to its Business Services, including the app. Platform template approval does not replace permission to contact someone.

The drafts below are editorial copy examples, not Meta-approved Message Templates. Adapt them to verified facts and the recipient's permission. On the Platform, submit any required template through your provider and check its approved purpose before sending. First reply: answer the actual property question

Send a first reply when a prospect contacts your agency about an identifiable property. Read the incoming message before selecting copy.

Hypothetical incoming enquiry: “Is the one-bedroom in JLT still available, and is parking included?” The agent has checked both facts.

Hello [first name], this is [agent] from [agency]. The one-bedroom you asked about, reference [property reference], is currently available and includes [verified parking detail]. Would you like the floor plan or a viewing time?

If availability is unconfirmed, say so and give a response time the agent can keep:

Hello [first name], [agent] here from [agency]. I am checking availability and parking for [property reference]. I will update you by [time, Dubai time]. Is this the best number for that update?

Do not fill the gap with an unsupported claim that a unit is available or another buyer is about to reserve it. Create a task for the promised update. The copy cannot compensate for a missing stock check.

A prospect who already asked for a viewing should receive appointment options, not a menu asking whether they want one.

After silence: add information the prospect can use

Follow up when there is a relevant unanswered question or agreed next step, the contact remains permitted and the sending mechanism is valid. Read the whole conversation again before sending.

Hypothetical context: a tenant requested annual rent and cheque terms for a Dubai Marina apartment. The agent sent the rent but was waiting for confirmed payment terms.

Hello [first name], I have the payment terms for [property reference]: [verified terms]. The annual rent is [verified amount]. Would you like me to check a viewing for [specific day]?

This message earns its place by resolving missing information. A repeated “Any update?” leaves the prospect to reconstruct the discussion.

If the original property is no longer available, disclose that before offering an alternative:

The [property reference] apartment is no longer available. I found [alternative reference] in [area] at [verified annual rent]. It differs in [relevant difference]. Would you like the details?

An alternative-property message may have a different purpose from a service update. WhatsApp describes utility messages as transaction updates and related notifications. Treat the alternative-property draft as a separate approval decision; adding a property reference does not establish its category.

Viewing confirmation: remove the practical uncertainty

Confirm a viewing only after the prospect has agreed a slot and the agent has checked access. Include the full date, property reference and meeting point. Use a timezone label for overseas prospects.

Your viewing of [property reference] is booked for [day, date] at [time, Dubai time]. I am [agent], your contact for the visit. We will meet at [specific meeting point]. Here is the map: [verified map link]. Please let me know if your plans change.

If access depends on a tenant or building contact, resolve it before using “booked”. An internal diary hold can remain provisional.

For a reminder, keep the appointment details intact:

Hello [first name], confirming our viewing of [property reference] on [date] at [time, Dubai time], meeting at [location]. Does that time still work for you?

Send according to the appointment agreement and your team's documented reminder policy. A same-day meeting and a buyer visiting Dubai next month need different timing. Track a reply as confirmed, reschedule requested or cancelled, then remove obsolete reminders.

Follow-up decision path checking context, permission, Platform service window and the next human-owned action

Before sending: read the latest context, check permission, select the valid messaging method and record the next action.

Missed viewing: check what happened before rescheduling

Send a no-show follow-up after the attending agent has checked the meeting point and attempted the agreed contact method. A location misunderstanding should not automatically become a lost lead.

Hello [first name], we did not meet at [location] for today's viewing of [property reference]. Are you still on your way, or would another time suit you?

Once the slot has passed, offer a new time only if the unit and agent are available. Keep the original appointment recorded as missed or cancelled, with the explanation if known. A rescheduled visit needs its own appointment entry.

Pause when the prospect is no longer ready

Use a pause message where the discussion suggests a later move or the prospect has stopped engaging after your agency's limited follow-up policy. Silence does not justify an endless sequence.

Hello [first name], I will pause the follow-up on your [area/property type] search. If you would like to restart, reply with your preferred timing and I can check current availability.

Apply the sending checks above to this draft too. Skip it if the person has already opted out.

If a person asks your agency to stop, stop the relevant outreach and record the preference so another agent or campaign cannot restart it. Avoid sending a final sales pitch inside an acknowledgement.

Turn the copy library into a team process

Store each draft beside its trigger, required fields and next action. The first-reply draft needs verified property facts; a reminder needs a confirmed appointment; a no-show message needs an agent's attendance check.

Have the sending agent inspect the rendered message. Empty placeholders, yesterday's rent and the wrong tower entrance are preventable mistakes. Make the agency name and agent identity consistent, and have a fluent speaker review any translated copy before it joins the library.

In the CRM, record the last inbound message time, current owner and next agreed action. Keep permission evidence and opt-out status accessible to the people sending messages. Automation should pause when a prospect replies and hand the conversation to its owner for review.
